We are seeking a Part-Time Receptionist to become an integral part of our caring and friendly team in our Physiotherapy/Pilates Clinic.

We are committed to provide an overall physiotherapy experience that consistently exceeds patient's expectations and needs. We are looking for a new team member who is looking to grow their Medical or Administration career with a fast-growing practice.

To be considered for this opportunity, candidates must meet the following ESSENTIAL criteria:

Must be available to work full days on Monday and Tuesday and be available to cover additional smaller shifts throughout the rest of the week
Currently studying or has studied Medical Reception or Admin related course
Fast learner
Exceptional communication and customer service skills
Friendly and professional telephone manner
Well-groomed and punctual
Compassionate and dedicated
Be able to work in a fast-paced environment
Intermediate – Advanced Microsoft office and Computer Literacy skills
Ability to work, co-operate and contribute to the team
Ability to work autonomously, show initiative and own their space
Interest in expanding knowledge in Physiotherapy, health and well-being
Respect for clients confidentiality
Comfortable to interact with people from all walks of life
Positive with an optimistic outlook on life
Be a willing participant in regular staff training

Desirable but not essential attributes:

Have a working knowledge of medical terminology
Experience in medical billing and appointment scheduling
Experience using FrontDesk booking system
Experience using Ciniko booking system
Experience using Filemaker database
Experience using Microsoft Outlook for email and scheduling meetings/reminders
Have worked in an admin, customer service or sales role within the health industry

Duties to be performed by our Receptionist:

Ensure premium customer service at all times when liaising with clients and handling all enquiries (in person, by phone or email)
Ensure treatment areas and waiting room remain tidy at all times
Prepare treatment rooms for patient examinations, keeping the rooms neat and clean
Manage client bookings (new and existing clients) and payments including enforcing cancellation policy
Prepare mail outs using Microsoft Word mail merge, sealing and posting correspondence
Record patients' medical history, vital statistics, or information such as test results into medical records on computer
Schedule appointments for patients
Promote the clinic's interests to new prospects and encouraging new bookings to the practice
Perform general office duties, such as answering telephones, or completing insurance forms
Chasing Insurance companies via telephone for claims owing to the clinic
Greet and log in patients arriving at the clinic
Banking and mail responsibilities
Extracting information from software and database for reporting purposes and presenting in Microsoft Excel
Support both the owners with any admin requirements or other ad hoc duties
To learn, know and apply the Clinic's Policy and Procedures Manual.
